Section 01

Information we collect

The details you share when you book a session, complete intake and health-history forms, contact the practice, or browse the site.

Information you give us.

  • Contact details: your name, email address, phone number and mailing address.
  • Booking details: the session or package you choose, your appointment times and your messages to us.
  • Health information: what you share in intake and health-history forms and during sessions, such as diagnoses, medications, lab results, symptoms, food records, goals and notes from your care team.
  • Payment details: these are entered into our booking and payment system and handled by our payment processor. We don't store full card numbers ourselves.
  • Correspondence: emails, phone calls, texts and anything else you send us.

Information collected automatically. Like most websites, the Site's hosting provider records basic technical information when you visit, such as your IP address, browser type, the pages you request and the time of your visit. This is used to keep the Site running and secure.

Information from others. With your permission, we may receive information about you from your physician or other providers, for example a referral or lab results.

Section 02

How we use your information

To deliver nutrition care, schedule and confirm sessions, process payments, send resources, and respond to your questions.

We use your information to:

  • Provide nutrition counseling, including assessing your needs, building your plan and following up between sessions.
  • Schedule, confirm, remind you about and reschedule appointments.
  • Take payment, and prepare superbills you can submit to your insurer if you ask.
  • Answer your questions and send the resources we've promised you.
  • Coordinate with your physician or other providers when you ask us to.
  • Run, secure and improve the Site.
  • Meet our legal, licensing and professional record-keeping obligations, and protect our rights.

Appointment reminders come by email. We don't send marketing emails or texts.

We don't sell your personal information, and we don't use it for targeted advertising.

Section 03

Health information & HIPAA

How protected health information is handled in a dietetics practice, and the rights that come with it.

We treat everything you share about your health as confidential.

Where your health records live. Intake forms, session notes, scheduling, secure messaging and virtual sessions are handled through Healthie, a HIPAA-compliant practice-management platform. Please don't send detailed health information by ordinary email or through the Site's contact form. Use the client portal instead.

Notice of Privacy Practices. How we use and protect your health information is described in our Notice of Privacy Practices, which you receive in the client portal when you become a client. You can ask us for a copy at any time. If anything in this policy conflicts with that Notice, the Notice controls for your health information.

Your rights over your health records. You can ask to see or get a copy of your records, ask us to correct them, and ask who we have shared them with. See Your privacy rights & choices below.

Section 04

How we share information

Limited sharing — only with the people and trusted services that help deliver your care.

We share your information only:

  • With service providers who help us run the practice: our practice-management and telehealth platform (Healthie), payment processing (Stripe, through Healthie), email, website hosting (Vercel) and website content management (Sanity). They may use your information only to provide their services to us. Any provider that handles health information is bound by an agreement to protect it.
  • With your care team, when you ask us to: for example, sending a progress summary to your physician.
  • With people you name: for example, a parent or partner you've asked to be included in sessions.
  • When the law requires it: for example, to comply with a subpoena or court order, report suspected abuse, or prevent a serious threat to someone's health or safety.
  • With professional advisors: such as an accountant or attorney, who are bound to keep it confidential.
  • If the practice changes hands: in a sale or transfer of the practice, client records may move to the new owner, who must protect them under the same rules.

Section 05

Cookies & tracking

What the site stores in your browser, and what it is used for.

What the Site uses today. The Site does not use advertising trackers or social-media pixels, and it does not currently run an analytics tool. It may use small, strictly necessary cookies to make the Site work.

The booking calendar. Our scheduling calendar comes from Healthie. When you use it, Healthie may set its own cookies, governed by Healthie's privacy policy.

Your choices. You can block or delete cookies in your browser settings. Some features, like booking, may not work without them. The Site does not respond to "Do Not Track" browser signals.

Section 06

Data retention & security

How long records are kept, and the safeguards applied while they are held.

Retention. We keep client health records for at least 6 years after your last visit. For clients under 18, we keep them for at least 6 years after the client turns 18. Other information, such as website messages from people who never became clients, we keep only as long as we need it.

Security. We use reasonable technical, administrative and physical safeguards, including a HIPAA-compliant platform for health records, access limited to the practice, and secure connections to the Site. No system is perfectly secure, so we can't guarantee absolute security. If a breach affects your information, we will notify you as the law requires.

Section 07

Your privacy rights & choices

How to see, correct, or ask for the deletion of the information held about you.

You can ask us to:

  • See the personal information we hold about you, or get a copy of it.
  • Correct information that is wrong or incomplete.
  • Delete information we don't need to keep. Some health records must be kept for a set time by law, so we may not be able to delete those right away. If so, we'll tell you why.

To make a request, contact us using the details below. We may need to verify your identity first. We will respond within the time the law requires.

Children. The Site is not directed to children under 13. We see clients under 18 only with a parent or guardian's consent and involvement.

Changes to this policy. If we change this policy, we'll update the date at the top. If the change is significant, we'll let current clients know.
